In short: A good cancellation policy makes three things clear: how many hours before class a member can cancel, what happens to their class credit if they cancel after that point or don't show up at all, and where the rule is written down. Why does your studio need a cancellation policy?
In a reformer class with 10 spots, every last-minute cancellation is most likely a spot that stays empty. Without a rule, every cancellation turns into a negotiation: some members get their credit back, others don't, and your team ends up being inconsistent.
A written policy does three jobs:
- It protects your capacity: a spot cancelled early can be opened up to another member.
- It's fair: the same rule applies to everyone, and your team doesn't have to make case-by-case calls.
- It builds trust: members know what they're agreeing to before they book.
What should a cancellation policy include?
Think of your policy as a few clear rules, not a long contract. The five points below are enough for most studios.
1. Cancellation window
The last moment a member can cancel a class free of charge. Common choices are 12 hours for group classes and 24 hours for reformer and private sessions, where spots are limited. For a 7:00 am class, a 12-hour window means the member has to decide the night before.
2. Late cancellation
A cancellation made after the window has closed. The most common approach is that the class credit is forfeited. New studios, or studios focused on winning members, may let a first late cancellation slide once; if you do, put that in the rule too.
3. No-shows
A member who has a booking but doesn't turn up and doesn't cancel. The class credit is usually forfeited. To enforce this rule, attendance has to be taken in every class.
4. When the studio cancels a class
Also spell out what happens if an instructor is ill or a class doesn't get enough bookings: how will members be notified, and will their credit be returned? This shows that the policy doesn't only bind the member.
5. Package rules
What happens to unused credits when a package expires? If you have different rules for monthly, 3-month and 6-month packages, write each one out separately.
